The Opportuntity
We are now looking for an experienced and motivated Operational Excellence Manager to join Medinet Community. This is a key role responsible for establishing, embedding and continuously improving operational processes, governance frameworks and continuous improvement methodologies across the business.
Working across operational and clinical functions, you will identify process gaps, standardise ways of working, improve accountability and ensure that operational processes are scalable, efficient and consistently applied.
A key objective of the role will be to establish a robust operational excellence framework by creating clear process ownership, introducing effective governance structures, implementing process documentation and developing management information to support operational performance and informed decision-making.
You will work closely with Operations, Clinical Leadership, HR, Recruitment, Finance, Payroll and Transformation teams to improve consistency, reduce operational risk and support the continued growth of Medinet Community.
This role is office-based in Edgbaston, with the successful candidate required to work from the office 3-4 days per week.
Key Responsibilities
Process Assessment & Design
- Review existing processes and establish operational baselines, identifying whether:
- No process currently exists;
- Processes exist but are undocumented;
- Processes exist but are not consistently followed; or
- Existing processes are no longer fit for purpose.
- Design and implement new processes where gaps are identified.
- Redesign and simplify outdated or inefficient processes.
- Standardise operational procedures and ensure consistency across services.
- Prioritise the review and documentation of high-risk and business-critical processes.
Process Governance
- Develop and implement a proportionate process governance framework across Medinet Community.
- Establish clear ownership and accountability for operational processes.
- Define and embed Process Owner and Subject Matter Expert responsibilities.
- Create and maintain governance standards for process management and documentation.
- Develop frameworks for process reviews, approvals and change control.
- Provide regular reporting to senior leadership on process effectiveness and operational risks.
Process Documentation & Standardisation
- Develop and maintain a central Process Register, including:
- Process owners;
- Version control;
- Review dates;
- Risk ratings;
- KPIs; and
- Supporting documentation.
- Lead the creation of process maps and visual workflows for critical processes.
- Develop and implement Standard Operating Procedures (SOPs).
- Introduce RACI matrices to clarify responsibilities and accountabilities.
- Ensure all process documentation remains accurate, current and easily accessible.
Operational Controls & Risk Management
- Develop and implement Risk and Control Matrices for key operational processes.
- Identify control gaps and recommend appropriate mitigating actions.
- Support operational teams in implementing effective controls and governance measures.
- Monitor operational risks and escalte issues where appropriate.
- Ensure processes support compliance, quality and business continuity requirements.
Continuous Improvement
- Introduce and embed a continuous improvement framework across the business.
- Facilitate root cause analysis and structured problem-solving activities.
- Implement improvement plans and ensure changes are effectively embedded.
- Monitor and measure the impact of improvements and ensure their sustainability.
- Promote a culture of continuous improvement, accountability and operational excellence.
Audit & Performance Management
- Develop and implement a proportionate internal process audit programme.
- Conduct process reviews and spot checks to ensure compliance and effectiveness.
- Track findings, actions and recommendations through to completion.
- Develop KPI dashboards and management reporting covering:
- Process compliance;
- Audit findings;
- Repeat issues;
- Overdue actions;
- Training completion; and
- Process review status.
- Produce regular reports and insights for senior leadership.
Stakeholder Management
- Act as the operational excellence lead for Medinet Community.
- Build strong relationships with operational, clinical and corporate teams.
- Support managers in embedding new processes and ways of working.
- Provide guidance and coaching to Process Owners and Subject Matter Experts.
- Present findings, recommendations and progress updates to senior leadership teams.
