ABOUT THE ROLE

This is a London-based hybrid role, with occasional travel in Europe required for partner meetings, events, and site visits. The role is split roughly 50/50 between broad team administration and closer support to senior leadership, including diary management, meeting preparation, and representing the Foundation in interactions with partners and external contacts. We are a small, early-stage team, so the environment is closer to a start-up: agile, hands-on, and plenty of room to shape how things are done. It suits someone who enjoys variety, can move comfortably between operational admin and more senior-facing tasks, and wants genuine exposure to how a research-focused foundation operates.

WHAT YOU'LL DO

  • Act as a liaison between French- or German-speaking stakeholders and the broader team, ensuring smooth communication in both directions
  • Support regulatory and compliance filings with authorities, tracking deadlines and sending timely reminders to relevant stakeholders
  • Book domestic and international travel and accommodation for the executive and team
  • Process expenses and support general team administration, including maintaining accurate records
  • Prepare meeting materials and agendas, and support the logistics of virtual and in-person meetings
  • Book and manage travel arrangements: flights, hotels, ground transport, and visas
  • Accompany the executive on short European business trips
  • Provide real-time translation and interpretation during meetings (between English and French or German)
  • Manage calendar, appointments, and meeting coordination
  • Anticipate needs and resolve logistical issues proactively
  • Support administrative and operational tasks

WHAT YOU'LL BRING

  • At least 5 years of administrative or coordination experience, ideally including some exposure to supporting senior stakeholders directly
  • Full professional fluency in English and either French or German, written and spoken (C2 level)
  • Strong organisational skills with excellent attention to detail, comfortable juggling competing priorities for multiple people at once
  • A proactive, adaptable approach and comfort with ambiguity, given the Foundation is still establishing its processes
  • A professional and discreet manner, given the Foundation's preference for a low public profile
  • Experience organising events, meetings, or hospitality bookings
