The Role
We are actively recruiting for a highly organised and proactive full-time HR Assistant to become a foundational member of our Human Resources Department. This pivotal role serves as the lynchpin for key HR operations, primarily focusing on the complete, end-to-end recruitment lifecycle and providing essential administrative support for staff performance management initiatives. The HR Assistant will report directly to the HR Department leadership and the Managing Director, handling a diverse portfolio of tasks that ensure the smooth and compliant functioning of the organisation's human resources. This position is ideal for an individual seeking to develop a comprehensive understanding of HR in a dynamic healthcare setting, offering broad exposure to both strategic and administrative functions within a supportive team environment. Success in this role requires meticulous attention to detail, excellent communication skills, and the ability to manage multiple priorities effectively.
Key Responsibilities
- Candidate Sourcing & Screening: Act as the first point of contact for potential employees by professionally conducting initial telephone screenings. Successfully shortlisted candidates will progress to formal, face-to-face or virtual interviews, which the Assistant will be responsible for meticulously scheduling and coordinating.
- Job Advertisement: Manage and execute the regular posting and reposting of vacant positions across a variety of online job portals, ensuring advertisements are accurately presented, compliant, and reach the widest possible pool of qualified candidates.
- Compliance & Documentation: Take full ownership of the vetting process, which includes managing the thorough completion of employment application forms, initiating and tracking Disclosure and Barring Service (DBS) checks, and overseeing all other mandatory compliance and vetting requirements essential for the healthcare industry.
- Reference & Follow-up: Proactively check and verify references for all new applicants. Additionally, prepare and process employment references for former employees with accuracy and speed. Systematically track and follow up on any outstanding documents or required certifications from new applicants to ensure a timely and compliant start date.
Other Key Aspects of the Role involve Staff Administration & Records Performance & Support General Support: Offer comprehensive administrative support to the entire HR Department.

- Education: A Bachelor's Degree is preferred, demonstrating a commitment to higher education and analytical skills.
- Essential Experience: Candidates must possess demonstrable, substantial experience in a Recruitment capacity, with a deep understanding of the full hiring lifecycle. Similarly, significant prior experience in a fast-paced Administrative role is essential.
- Technical Proficiency: A sound working knowledge and understanding of Applicant Tracking Systems (ATS) for managing candidate pipelines, as well as high proficiency in all essential MS Office packages (Word, Excel, Outlook).
- Communication: Exceptional written and verbal English communication skills, with the ability to draft professional correspondence and communicate complex information clearly.
- Analytical Ability: Confidence in quickly and accurately gathering, analysing, and presenting facts, data, and statistics.
