REF JOB: JOB7331

Role Outline

As a Clinic Booking Administrator, you will play a key role in supporting our clinical teams by organising and managing monthly on-site vaccination clinics. Your responsibilities will include ensuring that clinic schedules are uniform, well-organised, and run smoothly, while maintaining clear communication with all stakeholders involved.

This role requires exceptional organisation, attention to detail, and communication skills to coordinate with clinicians, third-party providers, on-site contacts, and the wider healthcare team. You will ensure that all appointments and clinic schedules are arranged efficiently, and any issues or changes are managed proactively.

What you’ll be doing

  • Liaising directly with sites to organise and confirm room reservations.
  • Coordinating with clinicians attending the clinics.
  • Communicating with third-party providers to arrange site coverage.
  • Collaborating with on-site lead contacts to ensure smooth operations.
  • Following the Clinic Booking Administrator step-by-step guide and checklists.
  • Organising clinic dates and creating detailed clinic schedules.
  • Booking vaccination appointments and managing appointment times.
  • Ordering and managing vaccination supplies.
  • Completing attendance reports and maintaining accurate records.
  • Ordering blood kits for sites as needed.
  • Rescheduling or cancelling clinics where required, ensuring minimal disruption.
  • Filling cancelled appointments with employees on the reserves list.
  • Working closely with the wider healthcare team to address any challenges and ensure seamless coordination.

What we are looking for

We’re looking for a proactive and organised individual with excellent communication skills, both verbal and written. You should have strong organisational abilities, with the capacity to prioritise tasks effectively and manage multiple responsibilities in a fast-paced environment.

Good IT skills are essential, including experience with Outlook and Excel. Previous experience in customer service, scheduling, or healthcare administration would be highly advantageous.

You should be a team player with a collaborative mindset, capable of working closely with colleagues to achieve shared goals while also being confident in taking ownership of your own responsibilities. Attention to detail, problem-solving skills, and the ability to adapt to changing circumstances are key to success in this role.

If you thrive in a dynamic environment and are passionate about supporting healthcare services, we’d love to hear from you!
