Our client, a market leader in their field of expertise, is seeking to appoint an experienced Executive Assistant to the CEO, based in Bedford, Eastern Cape, to their team.
This pivotal role is designed to enhance the CEO’s effectiveness by supporting strategic initiatives, streamlining operations, and improving organizational communication and project execution.
Requirements:
- Tertiary Legal or Commercial qualification.
- Minimum of 5 years experience in a Legal or Financial / Accounting environment, or similar.
- Must have a driver’s license.
- Environment involving liaising at a senior management to Board level.
- Project management skills would be advantageous.
- Advanced MS PowerPoint and Excel skills.
- Good understanding of support role.
- Excellent numerical aptitude and analysis.
- Communication & Interpersonal skills.
- Decision Making, gaining commitment, information monitoring, initiating action, planning, organizing and ownership.
- Strong EQ (Emotional Intelligence) driven by ethics and values.
- Good written and verbal communication skills.
- Renewable energy knowledge will be an added advantage.
Responsibilities, but not limited to:
1. Administration and Support:
- Performs administrative duties for the TEO and the Board.
- Coordinates resources to gather information and may prepare first draft of various reports.
- Responsible for ensuring relevant matters are included on board and board committee agendas.
- Communicating and escalating important issues appropriately
- Ensures TEO, Board and Board Committee Chairpersons are equipped with necessary documentation to proceed with meetings
- Attend any other tasks delegated by the TEO and/or Board.
2. Documentation Storage and Repository:
- Ensure proper documentation and storage of Trust documents in hard copies and in SharePoint.
- Maintain electronic statutory records, including registers of Trustees.
- Deal with correspondence, collate information and write reports, communicate decisions to relevant Trust stakeholders.
- Take measures to make sure Trust data is protected.
3. Governance Services:
- Advise the Board and Management on compliance with all relevant statutory and regulatory requirements for records management.
- Ensure that statutory forms and annual returns are lodged.
- Act as a central source of guidance and advice on matters of ethics and good governance.
4. Board, Board Committees and Annual General Meetings Support:
- Prepare the agenda.
- Prepare declaration of interest.
- Prepare the meeting pack.
- Send out notices within statutory timelines.
- Record and compile minutes of meetings and matters arising report.
- Maintain and archive resolutions register.
5. Internal & External Stakeholder Relationship Building:
- Builds and maintains relationships with TEO & Board of Trustees.
- High level of contact with external parties, stakeholders, and beneficiary communities.
