Location: To be based at our Support Office – CVS House, Owen Road, Diss, Norfolk, IP22 4ER

Contract: Permanent

Hours: 20 hours per week

Working Pattern: Monday – Friday, working 13.30 – 17.30, with the flexibility to cover annual leave, absence and busy periods

Key Responsibilities

  • Welcome Visitors: Provide a friendly, professional first impression
  • Mail Management: Sort and distribute incoming post and parcels across our three support office buildings
  • Travel Coordination: Arrange travel and accommodation for colleagues
  • Meeting Facilitation: Coordinate all aspects of meeting room management, from booking to turnover, ensuring a clean and functional environment for participants
  • Communications: Answer calls and manage general enquiries professionally
  • Email Management: Monitor central inboxes, ensuring tasks are completed efficiently
  • Administrative Support: Maintain electronic files and assist other departments as needed
  • Inventory Management: Ensure adequate supplies are available for colleagues
  • Record Keeping: Assist with the management and storage of files and records

Who We’re Looking For

  • Recent experience in a Receptionist role
  • Excellent customer service and communication skills
  • Friendly and approachable, with a positive, ‘can-do’ attitude
  • Strong administrative capabilities and time management
  • Attention to detail and accuracy
  • Proficiency with MS Office tools (Teams, Word, Excel, Outlook)
  • Ability to remain calm and effective under pressure
  • Ability to work independently and as part of a team
  • The ability to multi-task and be both proactive and reactive
