Head Hunted Recruitment are working with a well-known and long established construction company based in Kings Lynn, Norfolk who are looking to add a confident and professional Office Administrator to their growing team of professionals. This new Office Administrator position has come about due to securing new business opportunities in and around Norfolk/Suffolk. This is a fantastic opportunity for anyone looking to join a successful and busy commercial team. The Office Administrator will carry out administrative support tasks to ensure the smooth processing of enquiries, projects and online orders. The Office Administrator will also be responsible for the execution of administrative and clerical duties associated with the office which will need to be carried out in a professional, accurate and timely manner. Office Administrator General Responsibilities – * Manage daily incoming emails and move into actioned folder when complete and monitor other email accounts and cover for absences. * Report any systems issues to the management team for review. * Assist the sales and projects teams with admin support requests. * Use the daily catch-up to report on progress/raise any concerns/ask for advice and attend monthly catch-up meetings and report on KPi’s then set personal development goals and review * Answer and transfer incoming phone calls, greet site visitors * Open, date and distribute incoming post (excluding Private and Confidential) and package, stamp and post any out-going post. Office Administrator Project Support – * Follow up on building regs application tasks to get certificates and schedule the site survey. * Prepare a job pack folder for site including printing the site sign in register and drawings etc * Resolve supplier invoice queries before the due date and check and save PO confirmations including materials, delivery address, date. * Ensure all hire equipment is logged on the hire register and ensure any hire equipment or machinery is off hired as soon as possible * Order stock materials for the warehouse as requested by Project Managers or fitters. Office Administrator KPI\’s – * Send a follow up email to acknowledge all new enquiries within 3 working hours * Ensure the organisation and contact is added to the CRM with the relevant tags for every opportunity * Ensure all supplier query invoices are cleared before the month end pay run * Ensure all credit account orders have been paid within 3 months of the order date Office Administrator Specific Skills – * Able to work in an organised and methodical manor * High attention to detail * Keen to learn and develop * Excellent communication skills This is an office based position and comes with an excellent salary of £27K per annum.
