Primary Objectives
The primary objective of a Project Coordinator – Business Development & Events is to provide administrative and coordination support across Business Development (Winning Work), Events, and Project teams. The role will support the preparation and administration of bids and opportunities, assist in the planning and delivery of events and client engagement activities, and provide project and administrative support to ensure the efficient running of team operations.
Key Responsibilities
- Provide administrative support across Business Development and Events teams
- Add and maintain new opportunities within company systems using bid and fee information
- Support the administration and tracking of pipeline opportunities and project information
- Assist in the organisation and coordination of events, webinars, meetings, and client hospitality
- Support event communications, including email invitations, attendee lists, and promotional materials
- Provide support during events to ensure smooth delivery
- Maintain event databases, contact lists, and intranet pages
- Schedule and coordinate meetings, including preparing agendas and taking minutes where required
- Record meeting actions and follow up where necessary
- Manage diaries and coordinate internal and external meetings
- Prepare, format, and collate documents, reports, and presentations
- Ensure documents are formatted in line with company templates and standards
- Maintain organised electronic filing systems and project documentation
- Liaise with internal teams, clients, and external suppliers in a professional manner
- Respond to internal and external queries and provide administrative support as required
- Assist with research and information gathering ahead of meetings
- Provide general administrative and operational support to the team
- Undertake ad hoc duties to support team activities and business needs
