In the role of CMMS Data & BIM Asset Coordinator, you will work to capture, organize, and validate asset data for CMMS and digital handover deliverables.
Responsibilities
- Coordinate the capture, organization, and validation of asset data required for Computerized Maintenance Management Systems (CMMS) and digital handover deliverables.
- Develop and maintain structured asset registers, equipment lists, location hierarchies, and associated metadata in alignment with client and project requirements.
- Review BIM models to identify maintainable assets and ensure asset information is accurately assigned to model elements.
- Coordinate asset parameters, classification codes, naming conventions, tag numbers, and equipment attributes across BIM models and data schedules.
- Extract, clean, transform, and prepare BIM‑based asset data for import into CMMS or facilities management systems.
- Support the mapping of BIM asset data to CMMS fields, templates, and operational data requirements.
- Perform quality checks on asset information, COBie data, schedules, and model‑based deliverables to confirm completeness, consistency, and accuracy.
- Coordinate with BIM, Digital Design, Engineering, Construction, Commissioning, and Operations teams to resolve asset data gaps or inconsistencies.
- Support the integration of asset information with operations and maintenance documentation, manuals, warranties, spare parts data, and commissioning records.
- Prepare CMMS data upload files, validation reports, asset data trackers, and digital handover documentation.
- Assist in defining and applying asset information standards, data templates, coding structures, and workflows for BIM‑to‑CMMS delivery.
- Participate in coordination meetings with internal teams, clients, contractors, and facilities management stakeholders to support asset data readiness.
- Maintain organized records of asset data submissions, model exports, review comments, data validation results, and approval status.
- Support continuous improvement of BIM asset data workflows, CMMS data processes, and digital handover procedures.
Required Skills
- Technically qualified with BIM authoring, model coordination, and/or asset data management tools.
- Experience or familiarity with CMMS platforms, asset information systems, facilities management data, or digital handover processes.
- Competency with Microsoft Office products, especially Excel, and other data management or communication tools.
- Working knowledge of BIM processes & asset classification in an architecture & engineering or facilities management field.
- Ability to review, organize, validate, and manage large sets of technical asset data.
- Excellent communication skills, attention to detail, and strong organizational traits are essential.
- Ability to work collaboratively across multidisciplinary project teams.
- Experience with Revit, Navisworks, BIM 360 / Autodesk Construction Cloud, or similar BIM coordination platforms.
- Experience preparing or reviewing COBie, asset registers, equipment schedules, or CMMS import templates.
- Understanding of ISO 19650, asset information requirements, digital handover standards, or facilities management workflows.
- Familiarity with Maximo, Archibus, Planon, Infor EAM, or other CMMS / CAFM platforms.
- Experience supporting infrastructure, building systems, transportation, healthcare, or mission‑critical facility projects.

- Technical degree or a combination of education and related industry experience.
- A minimum of 5 years digital design (BIM element authoring) experience.
- Comprehensive understanding of all discipline relations and operations of building systems.
- Advanced skillset of 3D design software and document management infrastructure.
- Advanced skillset of 3D Coordination tools.
- Advanced skillset of Microsoft Office products and communication tools.
- Familiar with industry standards and practices, along with discipline codes and specifications.
- Familiar with basic automation and programming applications for efficiencies.
- Familiar with 3D design software add‑ins and supporting applications.
- Familiar with content creation and management concepts.
- Superior client service, communication, and presentation skills are essential.
- Demonstrate strong analytical and problem‑solving skills to effectively serve as a first line of technical support.
