We are seeking a motivated and organised administrator to join our Dermatology team, providing high-quality support to consultants and the wider clinical team. The role is key to ensuring the smooth running of outpatient services, including managing appointments, coordinating patient pathways, and producing accurate clinical correspondence within Trust targets. You will be confident managing a busy workload, able to prioritise tasks, and communicate effectively with patients, clinicians, and external stakeholders. A professional, empathetic approach is essential, as the role involves regular contact with patients, some of whom may be distressed. This is an excellent opportunity to join a supportive and fast-paced team, contributing to the delivery of safe and efficient patient care. Core hours are Monday to Friday, covering 8:00am to 5:00pm. Main duties of the job
Provide administrative support to Consultants and the Dermatology team, ensuring work is completed within Trust targets. Manage outpatient and virtual clinic bookings, including scheduling, cancelling, and rebooking appointments in line with RTT guidance. Prepare and review clinic lists, resolving any gaps or clashes.Produce accurate clinical correspondence, including clinic letters, discharge summaries, prescriptions, and blood forms using Cerner. Process referrals via the E-Referral Service (ERS), ensuring patients are triaged and progressed appropriately.Support Patient Tracking List (PTL) validation and elevate delays. Act as a point of contact for patients, relatives, and staff, handling queries professionally and empathetically. Maintain records, manage inboxes, and undertake general administrative duties while supporting team working.

Responsibilities include managing outpatient and virtual appointments, processing referrals via ERS, preparing clinic lists, and supporting Patient Tracking List (PTL) validation.The role involves regular communication with patients, relatives, GPs, and multidisciplinary teams, requiring a professional and empathetic approach. The post holder will manage shared inboxes, maintain accurate records using Cerner, and undertake general administrative duties. Close working relationships with clinical and administrative teams are essential.will be discussed at interview.

Education and qualifications
- Knowledge of Microsoft Office packages eg PowerPoint, Word, Excel and other IT skills acquired through training and practical experience
- 4 GCSE (C and above) or equivalent
- AMSPAR
- RSA Stage 3 typewriting, word processing (or equivalent)
Knowledge
- Knowledge of good practice and system of work within administrative field.
- Knowledge of Health and Safety in the Workplace
- Understanding of confidentiality/data protection issues
- Proficient in the use of computer software packages, e.g. Word, Excel, Outlook.
- Knowledge of NHS policies
- Knowledge of 18 week pathway process.
- Knowledge of Specialty Range of work procedures and practices; base level of theoretical knowledge
- Knowledge of secretarial or administrative procedures and systems, some of which are non routine, and non‑routine activities such as answering queries, progress chasing, task‑related problem solving.
Experience
- Previous administration experience.
- Experience in a similar field
- Knowledge of software programs
- Experience of working in an acute hospital setting
