Personal Assistant to Director/Assistant Director

  • To provide an effective, efficient, customer focused and confidential personal administrative support service to the Director, to ensure that they are effectively assisted in meeting the requirements of their roles.
  • To plan, organise and prioritise their own work and co-ordinate the work of their respective Director, actively contributing to wider team working and planning to ensure allocated work is completed on time. The post includes responsibility for disseminating service/director/cluster information and guidance across the wider PA Business Support staff within the nominated ‘cluster’
  • To be part of and contribute to the wider PA team supporting the Extended Leadership Team, working with colleagues to ensure effective processes and systems are in place to deliver high quality service; preparing a full spectrum of information and reports and providing an essential support service to an Director and at times the wider DMT across the Council’s ‘Clusters’ / Directorates, contributing to the delivery of services.
  • This post requires extensive knowledge of the council and the ability to work in a busy, politically challenging environment.
  • Planning, organising and prioritising work for their nominated Directors by; undertaking diary management, monitoring emails, screening telephone calls, providing informed and sensitive responses, preparing a full spectrum of information and reports, interpreting data and providing relevant recommendations for action. Planning and informing the Director’s workload(s) so as to allow then to use their time in the most efficient way. Acting with trust and integrity within a political environment

Reporting procedure

Candidate will be line managed by the Business Resource Manager, and will have line management responsibility for 2 PA’s supporting AD’s in the Resources Directorate.

Role is to cover a sickness absence so no specific milestones needed.

· Whether the services will need to be provided to any other bodies

PA to Director only supports 1 Director, so although team working is needed there if no cross body working required
