Maintenance Officer

The Maintenance Officer for the Clinical Onboarding Compliance Team plays a vital role in ensuring that all clinicians meet and maintain the rigorous credentialing and compliance standards required for engagement with HBSUK. This position is responsible for the systematic verification, documentation, and ongoing monitoring of all professional credentials for the clinical workforce. To be successful in this role the postholder will be detail-oriented, highly organized, and possess a strong understanding of healthcare regulatory frameworks. This role is critical to upholding the quality and safety of our patient care by ensuring a fully compliant and qualified clinical team.

Essential Criteria;

EDUCATION, QUALIFICATION AND TRAINING

  • GCSE grade C in Maths and English
  • Evidence of further education or formal training including NVQ

EXPERIENCE

  • A minimum of 2-3 years of direct experience in a healthcare administration, compliance, or credentialing role.

KNOWLEDGE AND SKILLS

  • A strong working knowledge of clinical credentialing processes.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with clinical staff and internal departments.
  • Proven ability to manage a high volume of work, prioritise tasks effectively, and consistently meet deadlines.
  • High level of proficiency in Microsoft Office Suite (specifically Excel, Word, and Outlook).
  • Prior experience using specific credentialing software or advanced HR information systems (HRIS).
  • A demonstrated ability to handle sensitive and confidential information with the utmost discretion and integrity.
  • Exceptional accuracy and a meticulous, methodical approach to data verification and record-keeping.

Desirable;

EDUCATION, QUALIFICATION AND TRAINING

  • Educated to degree level of equivalent
  • Customer Services training eg NVQ or internal training in a relevant Customer facing role

EXPERIENCE

  • Experience as a Maintenance Officer in a regulated industry or, demonstrable experience working within a Compliance function with a special interest in Maintenance.

KNOWLEDGE AND SKILLS

  • Indepth knowledge of healthcare regulatory frameworks and clinical compliance.

Within this position, you will mainly be;

  • Conduct thorough and timely primary source verification of all clinical staff credentials, including but not limited to, professional licenses, certifications, educational degrees, and work history.
  • Proactively track and manage the expiration and renewal of all licenses and certifications to ensure continuous compliance. This includes sending timely reminders to clinical staff and following up to ensure all necessary documentation is submitted and monitored.
  • Maintain accurate and up-to-date digital and physical records of all credentialing and compliance documentation. Ensure the integrity and confidentiality of all clinical worker files.
  • Stay abreast of relevant healthcare regulations and standards (e.g., NHS Frameworks, CQC standards) to ensure the organization's credentialing processes are current and compliant.
  • Assist in the preparation for and participation in internal and external audits. Generate regular reports on the compliance status of clinical staff.
  • Serve as a primary point of contact for clinical workers and self employed staff engaged by HBSUK regarding their credentialing status. Liaise with internal departments, such as HR, Clinical Recruitment, Clinical Operations and Operations, to ensure a smooth and efficient onboarding and re-credentialing process.
  • Contribute to the continuous improvement of the credentialing and compliance processes by identifying opportunities for increased efficiency and accuracy.
  • Support the Onboarding and Compliance team when new projects and services are mobilized, ensuring effective and efficient clinical resourcing and working collaboratively within the team to support periods of peak demand.
