Insourcing Operations Coordinator

*Please note, this is a fixed term contract of 6 months*

As an Insourcing Operations Coordinator you will coordinate and monitor Insourcing projects for HBSUK at NHS Trusts alongside an Operations Manager. You will be an excellent communicator, very organised and have experience of successfully managing complex data. You must be able to prioritise your workload and deliver to set deadlines effectively whilst working in a fast-paced environment.

Essential Criteria;

EDUCATION, QUALIFICATION AND TRAINING

  • Educated to GCSE level

EXPERIENCE

  • Experience of working in a team role within an NHS trust or healthcare business.
  • Experience of working across departmental and organisational boundaries to deliver specific targets and to improve services for patients.
  • Evidence of organisational awareness

KNOWLEDGE AND SKILLS

  • Excellent inter-personal and communication skills
  • Very high degree of ‘attention to detail’ – meticulous in data capture and admin
  • Able to prioritise own workload and manage time effectively.
  • Flexible approach to change management and problem solving.
  • Knowledge of clinic and theatre team set up and throughput expectations.
  • Good IT skills (Excel)

  • Experience working within an Acute Hospital environment in the NHS

Within this position, you will mainly be;

  • Operations Management: Working closely with the Operations Managers to ensure effective running of HBSUK operating lists and/or clinics. Coordinating relevant information alongside Operations Manager to mobilise new projects and services using mobilisation plans and liaising with customers. Owning the shared admin inbox, answering queries where possible and forwarding to the appropriate HBSUK departments as required.
  • Rota Management: Coordinating multidisciplinary staff rota’s, liaising with the Trusts and on-site coordinators to solve any staffing shortfalls. Liaising with the recruitment team on requirements for new projects, service expansions and linking with the onboarding process to deliver positive outcomes and swift mobilisations. Sending staff booking confirmations and booking reminders of booked shifts. Liaising with IT teams, both internally and externally, to ensure all relevant logins and systems are in place for staff working on HBSUK lists.
  • Reporting: Coordinating activity forecasting, to ensure visibility internally of upcoming and completed activity per project. Producing and updating MI reports for projects, to show the performance of HBSUK activity against agreed KPI’s. Ensure all staff are fully onboarded before commencing activity, by managing the weekly Onboarding report, escalating concerns to the appropriate Operations Manager.
  • Client Management: Maintaining and developing excellent working relationships with all customers and stakeholders, attending client meetings and documenting any actions arising from these. Responding accurately and swiftly to all stakeholders, escalating any concerns to Operations Manager
  • Governance: Reporting complaints and incidents via the relevant internal systems and contribute to any investigations for swift conclusions . Highlighting any patient and customer feedback to the Operations Manager, proactivity obtaining regular feedback for all insourcing projects
  • General: Following HBSUK Policies, Procedures, Pathways and Protocols, and if required, contributing to continuous development of such. Deputising for Operations Manager where appropriate.
