Hays Education are working in partnership with a successful and ambitious secondary academy in Bolton to recruit an experienced Office Manager. This is an excellent opportunity for a highly organised and professional administrator to lead a busy school office and play a key role in supporting the daily operations of a thriving educational environment. The school is seeking an individual who can deliver a first-class administrative service, lead a team effectively and ensure that students, parents, staff and visitors receive a welcoming and professional experience.
As Office Manager, you will be responsible for the day-to-day leadership and management of the academy's administrative and reception functions. You will ensure office systems run efficiently, administrative processes are completed accurately and the wider school community receives a high standard of service and support. Key responsibilities will include: Leading and managing the school office and administrative team. Ensuring reception and front-of-house services provide a professional and welcoming experience for all visitors. Organising and prioritising workloads to ensure deadlines are met and tasks are completed efficiently. Coordinating correspondence, record keeping, filing systems, document management and data entry. Managing telephone, email and visitor enquiries in a professional and timely manner. Supporting the administration of school events, parents' evenings, meetings, trips and academy activities. Managing office resources and supplies, maintaining appropriate stock levels and securing value for money. Supporting recruitment administration, interview arrangements and onboarding processes. Maintaining accurate pupil and staff records in line with GDPR and data protection requirements. Producing reports, spreadsheets and management information as required. Liaising effectively with parents, staff, visitors, suppliers and external agencies. Ensuring compliance with safeguarding, confidentiality and academy policies. Identifying opportunities to improve administrative systems and processes.
The successful candidate will possess:Essential Criteria Experience working within a busy administrative or office environment. Excellent organisational skills and the ability to manage multiple priorities. Strong customer service and stakeholder management skills. Excellent written and verbal communication skills. Experience using Microsoft Office and administrative software systems. GCSE English and Mathematics (Grade 4/C or above) or equivalent. Strong attention to detail and commitment to accuracy. Knowledge of data protection, GDPR and confidentiality requirements. Understanding of safeguarding responsibilities within an educational environment. The ability to remain calm, professional and solution-focused under pressure. The confidence to work independently, use initiative and make informed decisions. Desirable Criteria Previous experience working within a school or education setting. Experience leading or supervising administrative staff. Knowledge of school management information systems such as Bromcom, Arbor or similar. Experience supporting recruitment and pre-employment checks. Knowledge of attendance, admissions and pupil records administration. A Level 3 qualification or higher in Business Administration, Management or a related subject.
