Your New Company
As a Personal Assistant at AstraZeneca, you will be the trusted point of coordination and clarity—connecting people, information, and priorities to accelerate work that ultimately helps deliver medicines to patients. You will shape the daily cadence for a senior leader and their team, owning complex diaries, mission-critical meetings, and global travel, while ensuring documentation and systems stay current. Your work will power effective communication and learning initiatives, support onboarding, and create engaging site experiences.
Your New Role
- Diary and Meeting Orchestration: Drive proactive, end-to-end diary management; coordinate internal, external, and virtual meetings; prepare materials that enable decisive, high-quality discussions; prioritize to protect time for the biggest impact.
- Travel and Logistics Mastery: Plan and manage complex international travel, including visa arrangements and risk mitigation; optimize itineraries to keep leaders moving seamlessly. This will include completing accurate monthly expenses reports for timely submission using internal expense's system, following due diligence and in line with corporate guidelines and deadlines.
- Financial and Vendor Stewardship: Prepare and create purchase orders using Coupa and ePay; complete accurate monthly expense reports aligned to corporate guidelines and deadlines; uphold diligence and compliance.
- Information and Systems Governance: Act as an expert user of MS Teams and SharePoint; keep documentation structured and current; maintain team distribution lists and organization charts; track emerging tools and build expertise to enhance administrative effectiveness.
- Team Enablement & Onboarding: Support the onboarding of new team members. Enable central communications, events, and learning initiatives. Collaborate with the administration team to share methods and resolve issues. Respond to complex enquiries and provide vacation cover to maintain continuity.
- Site Culture and Engagement: Lead local engagement as the Cambridge Great Place to Work lead; design and run events that increase site vibrancy and connection.
Essential Skills
- Prior PA experience working with senior leaders in a global team to include extensive/pro-active diary management, complex travel including visa arrangements, as well as organising and preparing material for key meetings.
- You will support Global Procurement central support to regular communication, events and learning initiatives.
- Be proficient in the basics of AI utilizing prompts and agents to increase personal productivity.
- You will be a key team member of the Global Procurement administration team responding to complex or advanced enquiries providing temporary vacation admin support while the wider team is on vacation working together to share standards, support and resolving problems.
- As Cambridge Great Place to Work lead you will run local events to increase site vibrancy and engagement.
