Your new company

Hays are recruiting for a permanent Projects Coordinator. This role is hybrid in Manchester City Centre. You will provide day-to-day administrative and property management support to the surveying team. The role supports a portfolio of properties under the guidance of a Surveyor, taking responsibility for occupier matters, service charge budgeting/reporting, compliance monitoring, and coordination with internal teams, occupiers, clients, and suppliers.

Your new role

  • Support ownership and management of allocated properties within a wider portfolio
  • Carry out regular site inspections and record condition, standards, and occupier compliance
  • Maintain control of void properties and non-recoverable costs
  • Ensure property management systems and lease data are kept accurate and up to date
  • Support preparation of service charge budgets and explanatory guides
  • Monitor monthly and year-end expenditure against budgets
  • Investigate variances, outstanding positions, and backlogs
  • Authorise and review supplier payments and prepare client funding requests
  • Monitor statutory and internal compliance requirements
  • Instruct audits, assessments, and specialist advice as required
  • Read and interpret leases to ensure occupier compliance with obligations
  • Manage occupier applications (alterations, assignments, changes of use, etc.)
  • Engage with occupiers through forums, meetings, and customer experience initiatives
  • Support place making and V2 initiatives to drive satisfaction and retention
  • Assist with monthly, quarterly, and ad-hoc client and management reports
  • Support onboarding and offboarding of instructions, including TUPE processes
  • Work with client leads on arrears strategies, litigation support, and portfolio objectives
  • Contribute to pitches and opportunities for expanded or new work
