Part-time Administrator opportunity near Kingston.
Your new company: An independent charity group which is recognised for its deep-rooted history.
Your new role: You will be supporting the HR team on a temporary basis to cover long-term sickness, initially for 2 months but could be extended, working 14 hours a week.
- Manage and triage the HR recruitment inboxes, responding to all standard queries (i.e., reference requests, e-learning login requests, iTrent login requests, speculative recruitment emails, etc.) and escalating any more complex matters to the relevant member of the HR team.
- Administration of the long service award scheme as well as the distribution of staff membership cards.
- Support the HR team with managing our paper and electronic filing systems, including file cleansing in line with our GDPR data retention policy and schedule. Support the HR Team in audits where paperwork is required to be collected for checks.
- Coordinate the annual flu jab offer to all staff.
- Producing reports for internal enquiries eg, Development applications, H&S/Security training checks.
- Producing quarterly and annual reports for ONS/NISRA, usually Business Surveys.
- Providing accurate information for JMA about pensions of current employees.
- Assisting with HR team projects when needed, e.g. new induction materials, People Hub updates.
- Arranging staff passes for external guests and visitors.
- Ad-hoc support to the wider HR function.
What you'll need to succeed:
- Strong administration skills in an HR team would be beneficial but not a must.
- Excellent organisation and time management.
- Experience with inbox management and comfortable answering queries.
- Ideally on-site once a week on a Wednesday (working days either Weds and Thurs or Friday).
- Fully competent in using IT software including MS Word, Excel and PowerPoint.
