Your new role A Helpdesk Coordinator using the CAFM system Maximo plays a crucial role in managing and streamlining maintenance operations. This position involves monitoring and coordinating the helpdesk and CAFM systems daily. Key responsibilities include creating, assigning, and prioritizing work orders to ensure they align with contractual KPIs and SLAs. The coordinator also schedules planned maintenance activities for engineers and subcontractors, ensuring efficient workflow and timely completion of tasks.
Additionally, the role requires generating and analysing Maximo reports to identify areas for improvement and ensure data accuracy. Effective communication is essential, as the coordinator must handle incoming queries, provide updates, and liaise with various stakeholders to resolve issues promptly. This position demands strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.
- Schedule reactive and planned work to Site Delivery Teams, Engineers and Third-Party Suppliers.
- Proactively manage work through to completion.
- Ask the right questions for each call-in order to log the correct information, not just follow scripts.
- Multi-skill and use a number of CAFM systems, e.g. Global Maximo
- Raise and manage Purchase Orders (PO) on SAP
- Manage and revise PPM schedules and ensure compliance with mandatory and statutory regulations.
- Manage quotations.
- Knowledge and experience in Risk and Method statements would be advantageous but not mandatory.
- Update the CAFM system in relation to asset and PPM – upon approval from account.
What you’ll need to succeed
- To succeed in this role you will require relevant experience in a facilities & helpdesk role, ideally within a corporate office environment. You will also require:
- To build relationships with key Stakeholders on-site and understand site requirements and specifications.
- To have a proactive approach to job tasks and responsibilities.
- To proactively manage work orders to completion.
- To respond quickly and efficiently to incoming questions and requests in line with contractual requirements.
- To pay attention to detail when obtaining and inputting information.
- To have a clear and professional telephone manner.
- To achieve a high degree of Customer and Supplier satisfaction, applying logic and common sense to requests for assistance, and ensuring that identified criteria are escalated in accordance with procedures.
- To host training and coaching sessions and incorporate any changes necessary in duties, methods, working hours and procedures.
- To identify any potential areas of improvement and highlight through the correct tier reporting channels.
- To be flexible and adaptable to change.
- To responsibly adhere to the health, safety, environmental and quality standards, policies, and procedures.
- To accurately manage and revise PPM schedules and ensure compliance with mandatory and statutory regulations.
- To accurately provide asset management support, including asset data and trend analysis.
- To coordinate the end-to-end process of quote management and raising and managing purchase orders.
- To work within, and to, processes and procedures, e.g. quote management.
- To perform all other reasonable duties as required.
