Hays are delighted to be recruiting on behalf of a well-established public sector organisation based in Edinburgh for an HR Administrator to join their Human Resources team. This is an excellent opportunity to join a collaborative HR function, providing first-line HR support and administrative assistance. This is a temporary-to-permanent opportunity with an immediate start available, making it ideal for candidates who are available at short notice and looking to secure a long-term position within a supportive and progressive organisation.

Your new role

As HR Administrator, you will provide frontline HR advice and administrative support to managers, employees and external stakeholders. Working closely with HR Partners and the wider HR team, you will support the employee lifecycle from recruitment and onboarding through to contract changes and leavers processes. Key responsibilities will include:

  • Providing first-line HR advice and guidance on routine HR policies and procedures.
  • Supporting recruitment activities, including advertising vacancies, coordinating interviews and liaising with hiring managers.
  • Preparing and issuing contracts, offer letters and employment documentation.
  • Managing pre-employment checks and onboarding processes.
  • Processing contract amendments, flexible working requests and leaver documentation.
  • Maintaining accurate employee records on the HR system.
  • Coordinating induction programmes and training events.
  • Managing HR inboxes and responding to employee queries.
  • Taking minutes for employee relations meetings and providing administrative support.
  • Supporting payroll-related processes, including casual worker payments.
  • Assisting the wider HR team with ad hoc administrative duties and HR projects.
