You will be working for Hays as a systems and data administrator for one of our facility management clients until November 2026. This role is full-time, 40 hours a week 8am-5pm and the client supports remote working following an initial training period in Leeds. You will be required to travel to Leeds on occasion, so this role would best suit candidates who can easily commute into Leeds City Centre as required.
This is not a technical maintenance role - it is focused on administration, systems, and data accuracy.
Your new role
- Updating and maintaining records in a CAFM / CMMS system
- Processing planned maintenance (PPM) changes as instructed
- Managing large volumes of system updates accurately and consistently
- Keeping maintenance and asset data up to date and well-organised
- Supporting the team to reduce backlogs and improve data quality
- Following clear processes and written instructions
- Tracking your work and keeping simple records of completed tasks
What you'll need to succeed
Essential experience:
- Administration experience within facilities, maintenance, property, or a similar environment
- Experience using a CAFM or CMMS system
- Confidence working with data, system records, and structured information
- Experience handling high‑volume administration work with strong attention to detail
Essential skills:
- Accurate, methodical, and well-organised
- Comfortable working with systems and repetitive tasks
- Able to follow processes and instructions carefully
- Good time‑management and prioritisation skills
Desirable (but not essential):
- Experience working with planned preventative maintenance (PPM) records
- Experience supporting data clean‑up or backlog clearance
- Basic understanding of maintenance or asset data
