A charitable organisation is recruiting for a Personal Assistant based in Belfast.
Your new role:
As Personal Assistant to a senior leader, you will provide proactive, confidential and professional executive support, enabling effective delivery of key organisational objectives. You will be responsible for managing a busy diary, coordinating meetings and events, preparing reports and presentations, and acting as a key point of contact for internal and external stakeholders.
Key duties will include:
- Managing complex diaries, appointments and travel arrangements
- Coordinating meetings, preparing agendas, distributing papers and taking accurate minutes where required
- Drafting and preparing correspondence, reports, presentations and briefing materials
- Screening and managing incoming communications, ensuring urgent matters are prioritised appropriately
- Supporting the planning, coordination and monitoring of projects and key business activities
- Researching and collating information to support decision-making and organisational priorities
- Maintaining confidential records and ensuring information is managed securely and accurately
- Building strong relationships with colleagues and stakeholders while providing wider administrative support as required
What you'll need to succeed:
To be successful in this role, you will have proven experience supporting senior-level management within a busy professional environment. You will be highly organised, able to manage multiple priorities, and confident working independently while maintaining exceptional attention to detail. You will also demonstrate:
- A minimum of 2 years' experience in a similar Personal Assistant, Executive Assistant or senior administrative role, supported by relevant qualifications, or at least 3 years' equivalent experience
- Previous experience managing complex diaries and schedules for senior stakeholders
- Advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook
- Excellent verbal and written communication skills
- Strong organisational, planning and time-management abilities
- The ability to exercise sound judgement, discretion and confidentiality at all times
- A proactive, adaptable and solutions-focused approach
