Your new company is a charitable organisation recruiting for a Personal Assistant based in Belfast.

Your new role involves providing proactive, confidential and professional executive support to a senior leader, enabling effective delivery of key organisational objectives. Responsibilities include:

  • Managing complex diaries, appointments and travel arrangements.
  • Coordinating meetings, preparing agendas, distributing papers and taking accurate minutes where required.
  • Drafting and preparing correspondence, reports, presentations and briefing materials.
  • Screening and managing incoming communications, ensuring urgent matters are prioritised appropriately.
  • Supporting the planning, coordination and monitoring of projects and key business activities.
  • Researching and collating information to support decision-making and organisational priorities.
  • Maintaining confidential records and ensuring information is managed securely and accurately.
  • Building strong relationships with colleagues and stakeholders while providing wider administrative support as required.

To be successful in this role, you will have proven experience supporting senior-level management within a busy professional environment. You will be highly organised, able to manage multiple priorities, and confident working independently while maintaining exceptional attention to detail. You will also demonstrate:

  • A minimum of 2 years' experience in a similar Personal Assistant, Executive Assistant or senior administrative role, supported by relevant qualifications, or at least 3 years' equivalent experience.
  • Previous experience managing complex diaries and schedules for senior stakeholders.
  • Advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook.
  • Excellent verbal and written communication skills.
  • Strong organisational, planning and time-management abilities.
  • The ability to exercise sound judgement, discretion and confidentiality at all times.
  • A proactive, adaptable and solutions-focused approach.
