Your new company is a large, well-established public sector organisation with an extensive property portfolio across Northern Ireland. They are committed to delivering high-quality services, maintaining safe and efficient facilities, and investing in systems and processes that support operational excellence. An exciting opportunity has arisen for a Contract Compliance Officer to join their Property Maintenance Department, supporting a range of services including Building Maintenance, Mechanical & Electrical (M&E) Maintenance and Facilities Management.

Your new role involves supporting the effective administration, monitoring and performance management of maintenance contracts across the organisation's property. Responsibilities will include:

  • Managing and maintaining the Maintenance Spend Tracker using Power BI.
  • Reviewing contractor invoices and administering invoice tracking processes.
  • Coordinating monthly contractor review meetings to assess performance against agreed KPIs.
  • Supporting contract administration activities, including monitoring insurance renewals, contract documentation and compliance requirements.
  • Reviewing blanket orders and managing associated administration with contractors and suppliers.
  • Undertaking monthly reviews of capital and maintenance works through Power BI reporting.
  • Updating and managing maintenance activities within the Concept system, including scheduling, authorising, issuing and closing planned maintenance tasks.
  • Compiling contract performance reports and KPIs for the Management Team.
  • Supporting the ongoing development and enhancement of the Concept system alongside Maintenance and Asset Management teams.
  • Assisting departments with information management, data collection and administrative support.

What you'll need to succeed: The successful candidate will be a highly organised and analytical professional with experience in contract administration, compliance or maintenance support environments. Applicants should demonstrate:

  • Experience in contract administration, compliance, facilities management or property maintenance support.
  • Strong analytical and reporting skills, preferably with experience using Power BI.
  • Experience reviewing invoices, purchase orders and contractor-related documentation.
  • Excellent administrative and organisational abilities with strong attention to detail.
  • Confidence working with databases, management systems and Microsoft Office applications.
  • Strong communication and stakeholder management skills.
  • The ability to manage competing priorities and work effectively within a busy team environment.

Experience within property maintenance, engineering, facilities management or construction-related environments would be advantageous.
