Your new company A public sector organisation is recruiting for a Band 3 Secretary based in Derry/ Londonderry.
Your new role As Personal Secretary, you will provide comprehensive secretarial and administrative support to a multidisciplinary team and associated professionals.
You will be responsible for ensuring the efficient day-to-day operation of administrative processes while maintaining high standards of accuracy and confidentiality.
Key responsibilities will include: Managing diaries, arranging meetings, venues and hospitality requirements.
Providing full secretarial support to a team of professionals.
Preparing correspondence, reports, meeting minutes and other documentation Handling telephone enquiries and acting as a key point of contact for staff, service users and stakeholders.
Maintaining filing systems, records and databases.
Assisting with the preparation of presentations and departmental reports.
Monitoring office supplies and processing stock requisitions.
Producing and collating statistical information and maintaining administrative records.
What you'll need to succeed To be successful in this role, you will meet one of the following criteria: A minimum of 5 GCSEs (or equivalent), including English Language and Maths, plus 1 year's administrative or clerical experience; or NVQ Level 2 Business Administration (or equivalent) plus 1 year's administrative or clerical experience; or 3 years' administrative or clerical experience In addition, you will have: Strong working knowledge of Microsoft Office, including Word, Excel, Outlook and Power Point.
Experience managing diaries and organising meetings.
Excellent organisational skills with the ability to prioritise workloads effectively.
Strong communication skills, both written and verbal.
The ability to work independently and as part of a team.
A professional approach to handling confidential information.
Desirable: Experience using electronic patient record or case management systems.
