A successful transport business in the Grimsby area is recruiting for an Import Coordinator.

Role Purpose

To support the logistics and shipping operations by managing customer data, coordinating cargo movements, handling customs documentation, and liaising with vessels, suppliers, and port authorities. This role requires strong attention to detail, familiarity with logistics systems, and effective communication skills.

Key Responsibilities

  • Customer and System Management
    • Build and maintain electronic customer files using data from SAP and Microsoft Dynamics.
    • Use the SAP IT system to manage bookings and generate quotations.
    • Contact customers to obtain delivery instructions and required shipping documentation.
  • Customs and Regulatory Compliance
    • Create customs entries using Descartes, Destin8, CDS, and IPAFFS platforms.
    • Submit documentation for vessel arrivals and departures in compliance with port regulations.
    • Report vessel movements and related information to port authorities.
  • Cargo Coordination
    • Arrange delivery of cargo through third-party hauliers.
    • Coordinate the collection of cargo from the terminal or warehouse.
    • Produce discharge lists for terminals to support unloading and logistics planning.
  • Supplier and Financial Administration
    • Obtain rates from suppliers to support the creation of accurate and competitive quotations.
    • Process and forward supplier invoices for internal approval and payment.
  • Vessel Agency Support
    • Liaise with vessels, foreign offices, and terminal operators to ensure smooth operations.
    • Coordinate with port authorities and ensure all documentation is submitted in a timely manner.

Working hours:

Monday - Friday 0900 - 1700
Weekend working (one in five approx.)
Friday night - late finish
Saturday - 5-7 hours
Sunday approximately 3-4 hours (Additional payment + Half Day working Wednesday following the weekend)
Tuesday morning (one in five approx) 0600 - 1300

What you'll need to succeed

  • Experience in logistics, freight forwarding, or shipping operations.
  • Proficiency in SAP, Microsoft Dynamics, Descartes, Destin8, CDS, and IPAFFS.
  • Strong organisational and communication skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Familiarity with customs procedures and port authority requirements.
