An excellent opportunity has arisen for an experienced Executive Assistant to support a senior Director within a fast-paced and professional environment. This role requires a confident, highly organised EA who can proactively manage competing priorities while handling sensitive information with absolute discretion.
Your new role
You will provide comprehensive EA support to the Director, acting as a key point of contact both internally and externally. This is a varied role where no two days are the same and where initiative, attention to detail and strong organisational skills are essential.
Key responsibilities will include:
- Proactively managing projects and liaising with internal and external stakeholders for updates
- Acting as a key liaison between the Director and relevant contacts
- Screening, prioritising and managing emails, calls and correspondence
- Managing and maintaining the Director's contact database
- Handling confidential personal and corporate information with discretion at all times
- Managing electronic and paper filing systems, databases, guest lists, spreadsheets and membership subscriptions
- Creating and editing presentations and documents
- Proactively managing the Director's diary and ensuring full preparation for daily commitments
- Scheduling meetings, appointments and ensuring all relevant materials are available
- Taking meeting minutes and following up on actions
- Coordinating travel arrangements, bookings and itineraries
- Managing couriers, mailings and ad hoc collections or deliveries
- Managing budgets and processing invoices
- Handling incoming calls on behalf of the Director
- Supporting with any additional tasks as required
What you'll need to succeed
To be considered for this role, you will have proven experience operating as an EA at senior level within a fast-paced environment. You will be confident, proactive and able to manage multiple priorities effectively. You will also bring:
- Previous senior-level EA experience (essential)
- Strong administration skills with a methodical and organised approach
- A collaborative mindset and strong team-working ability
- Excellent communication and interpersonal skills
- Exceptional attention to detail and organisational skills
- The ability to present written information clearly and logically
- The confidence to use initiative and work independently
- Strong prioritisation skills and the ability to multitask
- A proactive, hardworking attitude with the ability to meet deadlines
- Strong IT skills, including Microsoft Word and Excel
- A high level of discretion and professionalism at all times
