Your new company Hays are working on behalf of a leading public service employer in Derry to recruit an Administration Assistant to join their Development team. This is a temporary position and office-based.

Your new role As Administration Assistant, you will provide an efficient and effective service to customers of the organisation in accordance with their policies and procedures. You will ensure that all duties are carried out in a timely and effective manner and that confidentiality is maintained at all times.

As Administration Assistant, your key responsibilities will include:

  • Managing a computerised information system.
  • Answering telephone and face-to-face enquiries appropriately & professionally.
  • Liaising with other department staff and external organisations.
  • Assisting with the production, presentation and distribution of written documentation using Microsoft Office, including letters, memos, statistics, reports and presentations.
  • Maintenance of the general filing systems.
  • Recording and distribution of incoming mail/post and dealing with routine correspondence and outgoing mail and distribution to relevant staff.
  • Faxing and photocopying duties.

What you’ll need to succeed As an Administration Assistant, essentially, you will have 6 GCSEs (Grades A-C), including GCSE Maths and English (Grade A-C) or an equivalent or higher educational standard. AND one year’s experience providing administration support in an administrative/clerical role. OR QCF (Previously NVQ) Level 2 in Business Administration or equivalent or higher educational standard AND one year’s experience providing administration support in an administrative/clerical role. OR Three years’ experience providing administration support in an administrative/clerical role. In addition to the above, you will have previous experience dealing with confidential information, booking meetings and appointments for customers. You will be proficient in Microsoft suite, with excellent organisational, communication and attention-to-detail skills.
