This is an excellent opportunity for an experienced Executive Assistant to join a busy executive office and provide high-level support to senior leaders during a critical period. Due to the immediate requirement, candidates will need to be available to start straight away or within a few days. Your new role As Executive Assistant, you will provide comprehensive executive support to senior leadership, ensuring the smooth and efficient running of day-to-day operations. Working within a fast-paced and highly professional environment, you will be responsible for managing complex diaries and inboxes, coordinating meetings, preparing documentation and acting as a key point of contact for internal and external stakeholders. You will play a crucial role in enabling senior leaders to focus on strategic priorities by ensuring effective planning, organisation and communication across a wide range of activities. Key responsibilities will include: Complex diary and calendar management Proactive inbox management, prioritisation and correspondence handling Coordinating executive meetings, workshops and events Preparing agendas, reports, presentations and briefing materials Taking, transcribing and distributing formal meeting minutes Managing sensitive and confidential information with discretion Coordinating board and committee papers and associated deadlines Maintaining productive relationships with senior stakeholders internally and externally Supporting governance and executive office projects Acting on behalf of senior leaders where appropriate to resolve urgent matters Supporting visitor management and wider governance administration activitiesThis role requires someone who thrives under pressure, remains calm when managing competing priorities and can operate with professionalism, diplomacy and sound judgement at all times. What you'll need to succeed Essential Previous experience providing high-level Executive Assistant, Personal Assistant or senior administrative support Experience supporting senior leaders, directors or executive teams Strong diary, inbox and stakeholder management skills Excellent minute-taking and meeting coordination experience Outstanding organisational and prioritisation abilities Experience working to tight deadlines in a busy environment Exceptional communication and relationship-building skills Ability to handle confidential and sensitive information with discretion Strong analytical and problem-solving capabilities Excellent attention to detail Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint Ability to work independently, use initiative and make informed decisions Professional, resilient and adaptable approachDesirable Experience supporting boards, committees or governance functions Experience working within healthcare, public sector or similarly complex organisations Project coordination or project support experienceAvailability Candidates must be immediately available or available to start within a few days.
