This is a part-time role, ideally 10am-2pm Monday-Thursday, based onsite.
The Reception and Office Manager will oversee the day-to-day operation of the building. The role is customer-facing and involves supporting tenants, visitors and clients, managing room bookings and conference facilities, and ensuring the building and shared spaces are maintained to a high standard. This is a multi-let office building for charities and voluntary organisations. The building provides office suites, meeting rooms and counselling rooms available for hire by both internal and external users. The post holder will act as a key point of contact between tenants and charity teams. Working independently, they will help ensure the smooth operation of the building, facilities and booking services.
Key Responsibilities- Act as the first point of contact for all visitors, tenants, clients and contractors.
- Manage the day-to-day running of office.
- Coordinate bookings for meeting rooms, counselling rooms and conference facilities.
- Prepare rooms for meetings and events as required.
- Order office and kitchen supplies, including stationery and photocopier consumables.
- Monitor shared areas including kitchens, meeting rooms and WCs, ensuring cleaning standards are maintained.
- Support prospective tenants and visitors, including conducting tours where appropriate.
- Set up and provide basic support for AV equipment and meeting technology.
- Maintain records relating to shared facilities such as printing and photocopying.
- Distribute incoming post to pigeonholes and to tenants when appropriate.
- Manage parking arrangements for the building and resolve or escalate issues as necessary.
- Report building maintenance issues, including lighting, plumbing, lift or access concerns.
- Support fire safety procedures, including maintaining relevant logbooks and assisting with scheduled evacuation drills.
- Create and manage tenant access fobs and door access permissions.
- Assist with tenant enquiries and support the onboarding of new tenants.
- Support the organisation of events held at the offices.
- Provide administrative support to the organisation.
- Undertake other duties appropriate to the role.
- Excellent organisational skills with strong attention to detail.
- Strong verbal and written communication skills, including face-to-face, telephone and email communication.
- Proficient in Microsoft 365, including Outlook, Word and Excel.
- Ability to work independently and use initiative.
- Ability to manage multiple tasks and adapt to changing priorities.
- Confident working with contractors and external suppliers.

- Knowledge of office health and safety procedures.
