We are seeking a highly organised and professional Occupational Health Administrator to join our Occupational Health and Wellbeing Team. This is a key administrative role, providing efficient support to Occupational Health Advisors, clinicians, university staff, and external stakeholders.

The successful candidate will play a vital role in ensuring the smooth coordination of occupational health services, supporting employee wellbeing initiatives, and maintaining accurate and confidential records in line with GDPR and occupational health standards.

Key Responsibilities
  • Provide comprehensive administrative support to the Occupational Health team.
  • Coordinate and schedule occupational health appointments, health surveillance activities, and wellbeing assessments.
  • Manage referrals from managers and HR teams, ensuring timely processing and communication.
  • Maintain confidential employee health records and databases accurately and securely.
  • Prepare correspondence, reports, clinical documentation, and meeting notes as required.
  • Act as the first point of contact for occupational health enquiries from staff, managers, and external providers.
  • Liaise with HR, departmental administrators, and medical professionals to support case management processes.
  • Monitor inboxes and respond to enquiries in a professional and timely manner.
  • Process invoices, purchase orders, and other departmental administrative tasks.
  • Ensure compliance with GDPR, data protection legislation, and university policies.
  • Produce management information and reports relating to service activity and performance.
