Your new company is a large public sector organisation based in Ballymena.
Your new role includes:
- Maintaining diaries and scheduling meetings, screening telephone calls and emails, responding to routine internal correspondence and preparing outgoing mail.
- Word processing, maintenance of spreadsheets and databases, PowerPoint presentations, photocopying and scanning, localised filing systems, and dealing with general enquiries from the public.
- Devising and maintaining office systems to deal with the flow and storage of files and information both electronically and in hard copy in compliance with auditing procedures.
- Attending meetings, as required, to take notes, compile and agree minutes, noting attendance and following up to identify/prioritise and action matters which require attention.
- Coordinating courses/seminars and taking lead responsibility for booking venues/accommodation, arranging catering/equipment/travel, and being responsible for delegate registration.
- Supporting the team to comply with Council financial systems, e.g. processing orders, coding invoices, setting up new codes, and ensuring invoices are processed by payment deadlines.
- Dealing with queries from the public and relevant stakeholders in respect of areas of service delivery.
- Assisting with the production and delivery of all related publications, promotional material, online content, and awareness events, liaising with the Procurement Service regarding the purchase and production of marketing and promotional material, and being responsible for stock control.
What you will need to succeed:
- 5 GCSEs to include English Language and Maths (grade C or above) or equivalent qualifications to demonstrate literacy and numeracy.
- The ability to deal efficiently with large volumes of work and successfully prioritise competing demands.
- A qualification that demonstrates competency in working with office technology, i.e. Word Processing or Typewriting.
- Working experience with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
