Role Overview
We are seeking a Studio Operations Coordinator to take ownership of the systems, processes and coordination that support the day-to-day running and growth of Playoneering® within Hayley Peacock Education. This is a hands-on, in-person role based at the International Playoneering Studio in Cuckfield, West Sussex. It sits at the centre of the organisation, ensuring delivery, partnerships, CRM, customer enquiries, sales conversations, scheduling, finance administration and internal systems all run smoothly and consistently.
The role requires someone who understands and is motivated by Playoneering® methodology and experience, and who values clarity, reliability and thoughtful execution in how work is delivered. A genuine interest in progressive education approaches, particularly Reggio Emilia-inspired practice, is highly desirable, as this informs and shapes much of the organisation’s work. This role suits someone who enjoys bringing order to complexity, takes responsibility for their work, and thrives in a purpose-led, studio-based environment.
Core Responsibilities
- Operations & Delivery
- Own and manage core operational workflows across the organisation
- Coordinate delivery across consultancy, training, studio and events
- Work with associates and freelance practitioners to coordinate schedules, delivery logistics and internal communications
- Maintain consistency and structure across all operational processes
- CRM, Enquiries, Sales & Customer Management
- Manage inbound enquiries and initial responses
- Maintain CRM systems and structured pipelines
- Track and progress leads from enquiry through to delivery
- Conduct sales conversations with prospective clients and partners
- Maintain accurate records of customer, partner and stakeholder interactions
- Systems, Internal Communications & Automation
- Oversee integration across core digital systems
- Maintain and improve automation workflows between platforms
- Manage communications with associates and stakeholders
- Ensure clear, timely and consistent internal communications across the organisation
- Ensure reliable flow of information across systems
- Internal Systems & Knowledge
- Maintain internal documentation and working systems
- Organise processes and Standard Operating Procedures (SOPs) for clarity and consistency
- Support structured access to organisational knowledge
- Scheduling & Logistics
- Coordinate scheduling across programmes, workshops and events
- Manage logistics for in-person and digital delivery
- Oversee booking systems and operational planning
- Finance & Administration
- Manage invoicing processes and basic financial administration
- Track payments and supplier coordination
- Support smooth financial operational workflows
- Act as data controller for organisational data, including customer, partner, stakeholder and assets
What We’re Looking For
- Proven experience in operations, coordination or systems-based roles
- Confidence working with CRM systems and structured pipelines
- Strong organisational ability across multiple concurrent workstreams
- Experience using HubSpot and monday.com within operational environments
- High attention to detail and a consistent, methodical working style
- Comfort working in a fast-moving, hands-on environment
- Ability to communicate clearly with internal teams, associates and external partners
- Experience in education, creative industries or studio-based environments is beneficial
- Familiarity and interest in progressive education approaches (e.g. Reggio Emilia) would be a bonus
