Bookkeeper / Personal Assistant
Salary: £35,000 - £40,000+ & Comprehensive Benefits Package

H-FTS is delighted to be partnering with our client, a highly regarded and growing professional practice in the London area, seeking an experienced Bookkeeper / Personal Assistant to play a pivotal role in the smooth operation of the business.
This is an excellent opportunity for a detail-oriented individual looking for a varied position that combines bookkeeping responsibilities, executive and office support, client liaison, and operational administration. The successful candidate will work closely with senior stakeholders and have the opportunity to develop their knowledge of legal finance, compliance and practice management within a supportive and collaborative environment.
The Opportunity
As Bookkeeper / Personal Assistant, you will be responsible for ensuring the efficient management of financial administration, executive support and office operations.

Key Responsibilities
Personal Assistant & Administrative Support
You will be responsible for:
- Managing diaries, meetings and scheduling requirements for senior staff
- Opening, maintaining and organising client and business files using practice management systems
- Preparing engagement documentation, correspondence and administrative paperwork
- Supporting client onboarding and due diligence processes
- Liaising with clients, professional advisers and external stakeholders
- Managing travel arrangements, restaurant bookings and meeting coordination
- Monitoring work in progress, disbursements and outstanding matters
- Assisting with billing administration and invoice preparation
- Supporting the day-to-day operational activities of the business
Bookkeeping & Finance
You will:
- Maintain accurate bookkeeping records and financial transactions
- Process receipts, payments and account reconciliations
- Perform monthly bank reconciliations and control account reviews
- Process expenses and expense claims through Xero
- Prepare and submit VAT returns
- Support month-end financial reporting processes
- Assist with compliance and internal financial procedures
- Provide information and documentation to external accountants and advisers
- Support ongoing process improvements across finance and administration functions
IT & Operational Support
You will:
- Act as the primary liaison with external IT providers
- Coordinate equipment procurement and setup requirements
- Support the management of mobile devices and technology assets
- Assist with troubleshooting and escalating day-to-day IT issues
- Help implement efficient administrative and operational procedures
About You
To be successful in this role, you will ideally possess:
Essential Requirements
- 2+ years' experience in a bookkeeping, finance administration, legal PA, executive assistant or similar role
- Strong working knowledge of Xero
- Experience undertaking bank reconciliations
- Experience preparing or assisting with VAT returns
- Excellent Microsoft Office skills, particularly Excel, Outlook and Word
- Strong organisational and time management abilities
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to manage multiple priorities in a fast-paced environment
- Professional and confidential approach to sensitive information
Desirable Experience
- Experience working within a legal, accountancy or professional services environment
- Knowledge of practice management systems such as LEAP
- Understanding of compliance processes, AML checks and onboarding procedures
- Exposure to legal cashiering or regulated environments
- Experience supporting senior executives, directors or partners
