Location: Gaydon, Warwickshire

Hours: 40 hours per week - 6.15am-3.30pm Monday to Thursday, 6.30am-11.30am Friday

Hawk 3 Talent Solutions are recruiting for a Waste Systems Administrator to join an established organisation supporting a major waste management contract based in Gaydon. This is a varied position combining systems administration, waste compliance, reporting, customer and supplier support, financial administration and continuous improvement. You will act as a central point of contact for waste management systems and provide day-to-day support to operational teams across multiple sites. This would suit a highly organised administrator with strong Excel and reporting skills. Previous experience within waste management, environmental services, facilities, manufacturing or a similar operational environment would be particularly advantageous.

The Role

  • Providing day-to-day support for waste management software and online portals, ensuring systems are being used effectively across operational sites
  • Acting as a central point of contact for system and portal queries
  • Supporting compliance with waste management procedures and Duty of Care requirements
  • Scheduling and coordinating internal, supplier, third-party and external waste audits
  • Monitoring audit performance and ensuring documentation remains current and compliant
  • Producing monthly KPI, progress and management reports
  • Maintaining accurate information and documentation across waste management systems and SharePoint
  • Supporting waste minimisation, recycling and continuous improvement initiatives
  • Producing labels and QR codes to support waste management processes
  • Attending monthly waste meetings, taking minutes and following up actions
  • Preparing PowerPoint presentations for monthly client management meetings
  • Supporting carbon footprint calculations relating to waste streams
  • Assisting with financial budgets, monthly reporting and transactional administration
  • Raising purchase orders and invoices relating to waste transactions
  • Producing waste transfer notes and consignment documentation
  • Liaising with customers and suppliers and responding to queries
  • Supporting new business proposals by obtaining supplier pricing, benchmarking costs and identifying potential solutions
  • Working closely with operational, sustainability, environmental and sales teams

About You

We are looking for someone who can demonstrate:

  • Previous experience within an administration, systems, compliance or operational support role
  • Strong administration and organisational skills
  • Good working knowledge of Microsoft Excel
  • Confidence using Word, Outlook, Teams and PowerPoint
  • Experience producing reports, KPIs and maintaining accurate records
  • Strong written and verbal communication skills
  • Confidence dealing with customers, suppliers and internal stakeholders
  • Ability to organise your own workload and work to deadlines
  • A proactive, positive and self-motivated approach
  • Good attention to detail
  • Experience working within a factory, manufacturing or operational environment would be advantageous

Desirable Experience

Any of the following would be beneficial, although not essential:

  • Previous experience within the waste or recycling industry
  • Understanding of waste compliance and Duty of Care
  • SAP experience
  • ADR basic awareness
  • Experience with waste transfer notes or consignment notes
  • Experience supporting environmental or sustainability reporting
