Based in London, we are seeking a motivated and dynamic individual to join our team as an Executive Assistant.
In this hybrid role, you will be responsible for supporting the Global Creative Director of Hauser & Wirth and of the Ursula magazine, with 50% of your time dedicated to executive assistance including sales and artists management and 50% to supporting creative projects.
This position is ideal for someone who thrives in a fast-paced, creative environment and has a keen interest in both administrative work and creative thinking.
Key Responsibilities
- Executive Assistant (50%)
- Provide day-to-day executive support to Global Creative Director, including managing schedules, appointments, and travel arrangements and expenses etc.
- Act as the first point of contact for internal and external communications on behalf of Global Creative Director.
- Prepare meeting agendas, take notes, and follow up on action items.
- Manage Global Creative Director‘s appointments, ensuring timely responses and flagging key priorities.
- Coordinate logistics for events, meetings, and conferences, including booking venues and preparing materials.
- Creative projects (50%)
- Be the primary contact for many creative projects internationally and help structure and find creative solutions on behalf of the CD, whether that’s special events, unique brand collaborations or Ursula magazine special projects.
Skills, Knowledge & Experience
- Strong organisational and time management skills, with the ability to multitask and prioritise effectively.
- Excellent written and verbal communication skills.
- A keen interest in contemporary art, culture, brand, publishing, and media.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point) and familiarity with publishing software/tools.
- At least 3 years experience in an administrative or creative role preferred.
- Ability to maintain high levels of confidentiality and handle highly sensitive information.
- A proactive and flexible approach, with a positive attitude towards problem-solving.
