The Opportunity
Our client, a well-established and highly regarded distribution business based in North Belfast, is seeking a Sales Office Administrator to join their busy operations team. This is an excellent opportunity for an experienced office professional who enjoys a varied role combining customer service, sales order processing, logistics coordination and general administration. The successful candidate will play a key role in ensuring the efficient day-to-day running of the office and delivery operation.
Key Responsibilities
- Respond to customer enquiries via telephone and email in a professional and timely manner.
- Process customer orders accurately and efficiently.
- Prepare despatch documentation and customer invoices.
- Complete weighbridge administration duties.
- Liaise with production and operational teams to ensure product availability and fulfil customer requirements.
- Coordinate and schedule vehicle deliveries for domestic and commercial customers.
- Arrange third-party haulage for wholesale deliveries throughout Ireland and the UK.
- Process customer payments, including cash and cheque transactions.
- Prepare daily banking lodgements and maintain accurate financial records.
- Update and maintain information on internal systems.
- Resolve customer queries and provide a high level of customer service.
- Complete daily, weekly and monthly administrative tasks, reports and checklists.
- Support the wider team with general office administration duties as required.
Essential Requirements
- A minimum of 2 years' experience within a busy office administration environment.
- Previous experience processing sales orders and coordinating deliveries or logistics.
- Strong IT skills, including Microsoft Outlook, Word and Excel.
- Excellent organisational skills with strong attention to detail.
- Ability to prioritise workload and work effectively to deadlines.
- Proactive and flexible approach to work.
- Strong communication and interpersonal skills.
Desirable Requirements
- Experience working within a distribution, logistics, transport, manufacturing or similar industry.
- Knowledge of accounting or order processing systems such as Sage, Perito or equivalent.
- Previous experience coordinating transport or delivery schedules.
