Job Role: Transport Coordinator in DungannonThe role of the Transport Coordinator is to liaise daily with the Transport Manger, Production and Dealer Support teams and involves handling paperwork, maintaining records, liaising with drivers and customers, and ensuring smooth logistics processes.The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Main tasks & responsibilities
Administrative Support:
- Maintain accurate transport records, update databases, and process delivery paperwork.
- Collate, undertake pre-checks, book and invoice all shipping.
- Liaise with the Transport Manager, production and Dealer Support teams to ensure accurate timescales for delivery.
- Request Freight costs and record all communications on the despatch schedule/PDI folders.
- Preparation and filing of export paperwork eg EUR1 forms, certificates of origin, road permits, despatch notes, invoicing in line with our audit and compliance rules and regulations, all other documentation associated with the outward movement of our machines.
Driver Coordination:
- Communicate schedules, distribute job assignments
- Ensure drivers have the necessary documentation.
- Build excellent working relationships with existing freight companies
- Main point of contact for all machine freight queries.
General Office Support:
- Handle phone calls, emails, and general administrative tasks related to transport operations.
- Work closely with Transport manager, production and dealer support team.
- Communicate transport updates with internal team and directly with the Dealer.
Key skills & competencies
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy in data entry.
- Good communication skills, both verbal and written.
- Ability to handle multiple tasks and work under pressure.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and ERP.
- Knowledge of transport regulations and compliance (desirable).
- Problem-solving and ability to work in a team-oriented environment.
Desired education & background
- Previous experience in a transport, logistics, or administrative role (essential).
- Experience working with transport documentation and compliance (preferred).
- Familiarity with transport management systems or logistics software (preferred).
- Strong IT skills, including proficiency in Excel and data entry.
