Salary: £13,760.47 pa (£24,330 pa FTE)
Working hours: 19 hours per week (Monday and Tuesday 09:00 – 17:00 and Friday 09:00 – 14:00)
Location: Hybrid (One day a week in either our Dorchester office or our East office near Stansted)

About the role
We are looking for a second Team Administrator to join our Planned Works Team in the Property Directorate to help deliver our planned and major works programmes. The successful candidate will work with a great team of colleagues to help deliver these programmes and projects, while also providing technical knowledge and expertise to their colleagues. You will work closely with the existing administrator to ensure all administrative activities for the team are managed.
Our planned and major works projects typically include:
- arranging works identified by fire risk assessments;
- cyclical redecorations;
- window and door replacements;
- re-roofing;
- heating upgrades;
- kitchen and bathroom replacements;
- overseeing major or complex repairs;
- defect surveys;
- Decent Homes Standard works.
This is a hybrid role, with attendance required at either Hastoe's Dorchester office or East office near Stansted at least one day per week, along with occasional travel to contractor meetings.
Responsibilities will include:
- Liaising with contractors, responding to queries, updating customers.
- Ensuring the housing management systems are up to date at all times.
- Carrying out customer satisfaction surveys and following up responses.
- Providing statistics on customer satisfaction for monthly contractor meetings.
- Reviewing and processing contractor payment requests in line with individual contracts, referring as appropriate to Surveyors.
- Compiling, collating and processing statistical information.
- Taking Minutes of meetings.
- Preparing and responding to queries relating to Section 20 notices for planned works.
About you
Our ideal Planned Works Administrator will have:
- A good working knowledge of housing associations.
- Previous experience of construction and health and safety legislation.
- A proven track record of delivering excellent customer service.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office applications, including Excel, Word, SharePoint and Outlook.
- The ability to manage multiple tasks effectively and deliver successful outcomes with support from the team.
