I have an exciting opportunity for a secretary/assistant to join a highly regarded residential property team in Oxford. The primary purpose of the role is to provide full administrative support for a lawyer and the wider team.
Whilst the role is suitably challenging, no previous legal experience is necessary; although previous experience as a secretary, personal assistant or administrative assistant may be an advantage. This role offers full training within a friendly and supportive team, with chances of development and training, offering a competitive salary and excellent benefits.
Key Responsibilities
- Audio-typing
- Administrative support including: file opening, document production, filing/archiving, retrieval of files, photocopying, email management, cheque requests, and dealing with post
- Producing correspondence, enclosures, forms, and documents
- Arranging the scanning and photocopying of paperwork
- Attending clients and agents over the phone and in person to respond to enquiries
- Arranging meetings and other appointments
- Gathering information and updating the case management system
- Carrying out other duties and responsibilities as required
Knowledge, Skills, and Attributes
- Previous experience within a secretary or assistant role for a property team desirable
- Excellent organisation capability with the ability to effectively prioritise
- Ability to work quickly, accurately, to deadlines and under pressure
- Competent with IT applications such as Word, Excel, and Outlook
- Experience on case management systems desirable
- Experience with BigHand transcription system desirable
- Strong written communication skills
- A friendly approachable personality to facilitate the link between lawyers, clients and third parties
- Good attention to detail
- Professional, personal presentation
