The Receptionist will be the first point of contact for our customers and visitors, playing a vital role in creating a helpful and positive first impression of the business. This position is offered as a 12-month fixed-term maternity cover and forms part of a job share arrangement, working Monday to Wednesday. Flexibility is required to provide holiday cover for the other Job Share Receptionist, who works Thursday and Friday.

Main Duties And Responsibilities

  • Meet and greet visitors – signing in process
  • Monitor reception inbox and deal with any queries accordingly
  • Update visitors form as and when required
  • Update the weekly calendar with expected visitors and notify employees when their visitor arrives
  • Keep tidy the meeting rooms and kitchen area for visitors and directors
  • Order and replenish tea / coffee / snacks
  • Answer the main switchboard and direct calls as appropriate
  • Photocopying and scanning of documents for Directors
  • Binding reports
  • Order stationery, company branded work wear and PPE
  • Make travel arrangements for the Directors
  • Book meeting rooms for Directors and other members of staff
  • Arrange lunches for Directors and visitors as and when required
  • Direct lorry drivers to Goods In
  • Keep folders for Company Pool Cars and book out on calendar as requested
  • Set up new starters badges and make changes on Kantech system
  • Update expenses for Reception Credit Card using Concur system

Qualifications, Skills And Experience

  • Previous experience in a reception/admin role
  • Strong attention to detail
  • Excellent interpersonal skills and a good telephone manner
  • Ability to work collaboratively across all areas and levels of the business

There will be a requirement to cover holidays for the other Job Share Receptionist who works Thursday and Friday.
