Harvey Nichols is looking for an organised, proactive and detail-oriented Buying Administrator to join our Womenswear Buying team at Head Office in Knightsbridge, the home of modern luxury, innovation and the world’s most desirable designer brands.
This is an exciting opportunity for someone passionate about product and luxury Womenswear to play a key role within a fast-paced and creative buying environment.
About the Role
As a Buying Administrator within Womenswear, you will support the Buyers throughout the entire buying cycle, from order placement through to delivery in store.
You will ensure the smooth running of department processes, maintain exceptional accuracy and provide vital commercial support to help drive performance.
- Raising all planned purchase orders and maintaining delivery schedules, working closely with Buyers, Suppliers, Merchandising, Warehouse and Stores to ensure timely stock delivery.
- Monitoring and chasing deliveries, proactively resolving issues and negotiating late delivery terms with suppliers where required.
- Analysing delivery, sales and performance data, producing ad hoc reports to support buying decisions.
- Checking supplier confirmations against buyer worksheets and resolving discrepancies efficiently.
- Managing supplier returns, including stock swaps, cancellation of balances and system updates.
- Responding to Warehouse and Store queries, arranging direct-to-store deliveries and providing timely and effective solutions.
- Reviewing quality concerns raised by stores and taking appropriate action on faulty or damaged stock.
- Building and maintaining strong supplier relationships through regular communication and distribution of weekly sales figures.
- Ensuring debit notes, supplier funding and sale-or-return stock are processed accurately and on time.
- Maintaining comprehensive departmental filing systems, including supplier files, order logs and cancellation records.
- Updating key trading documents such as FPSS, OTB trackers and brand sales files.
- Monitoring continuity lines, actioning replenishment and attending continuity reviews with the Assistant Buyer.
- Supporting the smooth running of the department through excellent housekeeping and secure handling of confidential information.
- Developing strong product knowledge across the industry through competitive shopping and independent floor walks.
- Actioning retail price changes accurately.
- Using reporting tools to analyse product performance by category, colour, size and style, providing insights and recommendations to the Buyer.
