About the Role:
- Manage and administer finance processes, including maintaining finance workbooks, correcting errors, ensuring data accuracy across formats, and presenting financial information with analysis and recommendations on budget variances.
- Track delivery progress and produce clear progress reports tailored to different stakeholders.
- Support senior leads by preparing packs for Executive Actions Boards (EAB) and ensuring actions are progressed.
- Maintain RAID logs, elevate actions, support risk and issue tracking, facilitate workshops, and ensure effective monitoring.
- Develop strong understanding of internal governance frameworks and act as a point of contact for guidance, coaching, and embedding standard processes.
- Prepare and maintain collateral required for Authority to Proceed (ATP) packs across workstreams.
- Collate and prepare all materials required for internal and external audit assessments.
- Facilitate meetings as required.
- Actively participate in PMO "Community of Practice" activities.
- Understand value, benefits, and associated measurement approaches.
- Use Azure DevOps or Jira/Confluence to support team members and generate reports.
- Analyse relevant data and develop impactful ways to present information.
- Support compliance with organisational policies and procedures, acting as a source of guidance, maintaining records, and preparing required documentation.
- Organise and support project events, including audits and stakeholder sessions.
- Arrange meetings, prepare and issue papers/agendas, and provide minute-taking when needed.
- Coordinate onboarding and induction for new starters.
Essential Skills & Experience:
- Experience managing project level financial reporting, organising events e.g. audit or whole lab delivery events.
- Good experience in embedding governance within team.
- Good people and communication skills.
- Ability to improvise and adapt.
- Work to deadline and manage workload to prioritise.
- Act as the "go to" person within Labs for LOAD, audit and RAID questions and guidance.
- Explain his/her area of expertise clearly to others.
- Not only answer why things are done, but how.
- Confident report builder using available report building tools.
Desirable Qualifications:
- The candidate will have an awareness of Digital Scotland Service Standards and Government Digital Services (GDS).
- Worked in Agile delivery environments previously.
- Understand the language/terms/jargon in their assigned lab.
- Experience of Azure DevOps and/or previous experience using Jira and Confluence.
