The Property & Asset Management team is hiring an experienced Senior Facilities Manager to work on the assets of our high-profile client base. We seek an individual with a desire to use their existing experience and skills while becoming a committed part of the successful HTC brand and management ethos. Seeking new ways to improve and innovate existing delivery should always be a priority.
The Hartnell Taylor Cook Facilities Management team is driven by a passion for doing the job to the highest standards, with a shared vision and the ability to work cooperatively, consistently, and in a determined fashion. HTC FM values strong communication and aims to provide the best level of service in partnership with Property Managers. Having an equal voice in decision-making and how each asset is managed is crucial.
Support for junior members of the FM team is also a key part of the role, ensuring that Coordinators have the correct flow of information from all parts of the business to ensure systems run effectively. The role of a Senior Facilities Manager requires a high level of organisation and the ability to operate as part of a team. This hands-on role brings responsibility and overall accountability for the day-to-day operation of our managed portfolio.
Your key responsibilities will include:
- Maintaining a strong partnership with property managers, ensuring regular meetings take place and all support mechanisms are in place for efficient and consistent property management of the asset.
- Fully embracing our use of Elogs and S2 Riskwise CAFM systems.
- Ensuring all asset hard and soft services are specified correctly, tendered, and in place to meet any operational need.
- Developing and maintaining a positive image of the Asset.
- Monitoring all activities relating to the site(s), reporting and taking action as appropriate.
- Conducting regular inspections of the building fabric and hard and soft services.
- Working with key stakeholders to ensure a maintenance and repair programme is in place.
- Compiling and maintaining records relating to the site(s); e.g. asset register, plans, plant testing, etc.
- Liaising with tenants and dealing with any operational queries they might have.
- Attending tenants’ meetings with and without the surveying team.
- Being responsible for Health and Safety, compliance, and risk management on site, along with associated records.
- Organising fire and other safety evacuations and arranging an emergency plan.
- Liaising with local authorities as appropriate.
- Proactively managing risk and dealing with insurance issues on site.
- Ensuring the property achieves the KPIs set by the client, in conjunction with other stakeholders.
- Managing major work programmes on site, acting as the liaison point for all parties involved.
- Producing regular reports to the operational team, as required.
- Ensuring procurement is carried out in line with company policy.
- Informing your line manager of any issues in service delivery, either internal or through suppliers.
- Developing and reviewing suitable management procedures for individual buildings.
- Assisting with the management of onsite staff including building managers, site receptionists, and security guards where applicable.
Skills and Experience:
- A proven track record in facilities management, responsibility for on-site staff, and ensuring business operational and financial targets are met.
- Experience of offices and retail property is essential. Experience of development sites and public body sites would be helpful.
- Constantly updating knowledge of legislation relating to facilities management.
- Able to build and maintain client relationships.
- Confidence in meeting any (internal and external) and resolving performance needs.
- Understanding the client’s investment objectives.
- Able to build and maintain tenant/customer relationships.
- Applying the principles of service charge management to ensure compliance with all regulatory and procedural requirements.
- A good understanding of contracts and procurement.
- Be able to specify services, tender contracts, and select service providers.
- Understanding how property is constructed and how ‘plant’ works.
- Knowledge of legislation and policies relating to Environmental protection.
- Familiarity with CAFM and popular accountancy/invoicing software.
- Strong interpersonal skills and solid communication skills both orally and written.
- Ability to work independently and resolve issues using knowledge and experience.
- Proactive in supporting junior members of staff and offering guidance to the team on best practice.
- Strong work ethic and take ‘ownership’ of the role.
- Hold a NEBOSH qualification or be willing to work towards it.
- Willing to work towards a Diploma in Risk Management.
