Hartley Pensions are looking for experienced investments administrators to play a pivotal role in the administration of our clients’ SIPP accounts during an important transitional phase for the business. By processing and accurately managing SIPP pension investments, Hartley Pensions are offering a highly rewarding opportunity for a professional dedicated to providing an exceptional service to our clients.
As an Interim - Investments Administrator, you will work alongside a dedicated team of professionals committed to processing client instructions and the completion of a range of administrative tasks to a timely and effective standard. In doing so, you will ensure the delivery of high quality and consistent outcomes to our clients.
Your core responsibilities include (but are not limited to) the following:
- Processing client instructions. This concerns the prompt execution of requests (whether from the member direct or their adviser) such as administering disinvestments from third party platforms. In these instances, you will closely work with the Hartley SIPP administration teams and ensure that assets across the portfolio are accurately valued before liquidating these funds back into the SIPP.
- Obtaining the accurate valuations of all assets within the SIPP, your diligent reporting and attention to detail will ensure the accurate reporting of asset values to HMRC as part of the client’s wider request in drawing down from their SIPP pension.
- Providing updates to colleagues, clients and relevant financial intermediaries on issues affecting benefits requests and tax-free entitlements. Where necessary, you will be expected to report on potential unauthorised investments to your team lead and at times, escalate to senior management.
- Liaising with pension schemes and operators to obtain necessary pension information. In cases of non-standard assets, you will be proactive in investigating and identifying such cases, working with our Tranche 6 department in reporting on these.
- Supplying accurate reporting of information around the client’s investments to Hartley’s Transfers Out department, communicating where necessary if a member holds investments, property or even non-standard assets within their SIPP.
- Fulfilling any other reasonable requirements of the firm. Importantly, you will be expected to assist in clearing backlogs which may also involve helping colleagues in other departments on ad-hoc administrative requests.

Prior experience in SIPP administration is highly desirable. However, experience working for a SIPP operator is essential. This is not an entry-level position and whilst we provide training and upskilling to staff, you are fully expected to hit the ground running and be familiar with the fundamentals of SIPP administration.
Have a foundational knowledge of the commercial marketplace and Hartley Pensions’ role within it. It is desirable that you can demonstrate at least a basic understanding of pension legislation and tax regulations around annual allowances and tax-free entitlements. Applicants with experience with or an understanding of non-standard assets and the complications around their administration will be favoured.
As you will be handling sensitive tax-privileged funds, administrative errors can be extremely costly, resulting in significant penalties to the firm. You must be diligent and meticulous to detail in your work. This is especially needed on investment reporting and executing client-led instructions.
You must also be conscious of the importance of adhering to GDPR regulations and ensuring the privacy and appropriate handling of sensitive client data is always upheld.
Numerical proficiency must be an essential element to your skillset. This is necessary for reconciling investment information. Therefore, at least a Grade C/4 at a GCSE level (or international equivalent) in Mathematics is required for this position.
You must have a competent standard of literacy for this role. At times, you will be dealing with complex legal documents alongside your direct client communication. Therefore, your ability to read, interpret and write in a clear and professional manner is necessary for this position. A minimum Grade C/4 at a GCSE level (or international equivalent) or above in both English Literature and English Language is required.
You must have a decent level of communication skills. It is highly important that as a representative of the firm, you can effectively communicate technical investment information into lay terms to clients. Your ability to communicate must crucially concern the ability to cater your tone to one of empathy and assurance.
You must have experience and competency utilising bespoke SIPP/SSAS administration platforms. It is desirable that you have prior experience with Delta Platinum Pro and SIPP Pro. Further, you must have a competent ability to use core Microsoft tools such as Word and Microsoft Excel.
