An exceptional Legal Secretary/Practice Assistant is required to join the Employment team within this highly respected and forward-thinking law firm that is both collaborative and supportive.

As a PA/Practice Assistant, you will already be working at mid-level, with a minimum of 4-5 years experience or as a Junior PA with 3+ years' experience if ready for a step-up and must be working for a law firm, seeking progression or a fresh challenge. The team covers a wide range of employment matters including sports, media, charity and corporate, alongside individuals at senior executive level and are driven to achieve quick solutions for their client base. Hybrid working is currently in place with 2 days in the office and 3 days working from home.

As a Legal Secretary/Practice Assistant your responsibilities will include:

  • Effective and proactive diary management including planning and awareness of the Fee Earners workload.
  • Preparing AML documentation and obtaining relevant documentation from clients in a timely manner, as required by Fee Earners including conflict searches.
  • Creating typed work of a high quality, formatting in accordance with house style, at high speed, with accuracy and following internal guidelines.
  • Providing assistance in the delivery of marketing communications, and recording all business development meetings in InterAction.
  • Providing excellent service to clients, both internal and external, in a timely and professional manner, presenting a positive image of the Firm at all times.
  • Monthly billing and invoice preparation for the Fee Earners.
  • Document production as required, proof-reading, track changes/amendments.
  • Preparing both manual and electronic bundles for cases and court.
  • Researching new clients/contacts and collating papers required for client meetings, and conducting basic research for the fee earners.
  • Liaising with both internal and external stakeholders and relevant third parties.
  • Maintaining regular file management, to ensure all files are up to date, closed and archived, as appropriate and keeping accurate records of all files and sending to off-site storage.

Personal Competencies:

  • You will need to be able to demonstrate good interpersonal and communication skills, delivering a high-quality and efficient service.
  • Previous or current secretarial experience ideally working in employment but transferable skills from other practice areas will be considered.
  • Are flexible, reliable, co-operative and have a professional approach to work.
  • Work as a positive, friendly, and helpful team player.
  • Ability to work under pressure, manage conflicting workloads, prioritise well and work to deadlines.
  • Able to work as part of a team in a collaborative manner.
  • MS Office knowledge and minimum typing speeds of 60wpm.
  • Have transferable systems skills or ideally knowledge of InterAction, Intapp or BigHand.
  • Minimum of 5 GCSEs Grade C or above or equivalent/or relevant senior expertise.
