Our Talent Acquisition team are now looking for a Contingent Workforce Coordinator to support the engagement and management of agency workers and contractors across Harrods. This is an exciting opportunity to join a collaborative and fast-paced team, helping to deliver a seamless experience for contingent workers, hiring managers and suppliers. You'll play a key role in ensuring our temporary workforce is onboarded, managed and offboarded efficiently, while maintaining compliance and supporting the changing needs of the business throughout the year.
About the Role
In this role, you will be responsible for supporting the end-to-end lifecycle of contingent workers, including agency workers and contractors. Working closely with hiring managers, recruitment suppliers and internal stakeholders, you will help ensure workers are engaged efficiently, compliantly and in line with business requirements. You will act as a key point of contact throughout the contingent worker journey, providing guidance and support while delivering a high-quality service. You'll also play an important role in maintaining accurate records, supporting governance processes and ensuring compliance with relevant legislation and internal policies.
Day-to-day, you will:
- Coordinate the onboarding, extension, change and offboarding of agency workers and contractors.
- Support the compliant engagement of contingent workers in line with company policies and UK legislation, including AWR, IR35 and GDPR requirements.
- Manage associated administration, including assignment requests, contract extensions, purchase orders, invoice processing and worker documentation.
- Review and validate key compliance documentation, including Right to Work checks and criminal record checks, escalating any concerns where appropriate.
- Issue contracts and associated documentation through Adobe DocuSign.
- Maintain accurate worker records within Workday and other systems, ensuring all changes are recorded promptly and accurately.
- Conduct regular audits of worker records and documentation to support compliance and data accuracy.
- Act as a key point of contact for hiring managers, suppliers and contingent workers, responding to queries and providing guidance on processes and policies.
- Build effective working relationships with recruitment agencies, consultancies and managed service providers.
- Support seasonal workforce mobilisation and other contingent workforce initiatives as required.
- Work closely with Talent Acquisition, HR, Legal, Procurement and Finance teams to support governance and workforce planning activities.
- Identify opportunities to improve processes, enhance efficiency and deliver a consistently positive stakeholder experience.
About You
You will be a highly organised and detail-oriented coordinator who enjoys working in a fast-paced environment and building strong relationships with a wide range of stakeholders. You'll be comfortable managing multiple priorities, maintaining accurate records and ensuring processes are followed with a high degree of accuracy and compliance.
You will have:
- Previous experience within recruitment coordination, contingent workforce management, HR administration or a similar operational role.
- A good understanding of contingent workforce processes and relevant legislation, including Agency Workers Regulations (AWR), IR35 and GDPR.
- Strong organisational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent attention to detail and a commitment to maintaining accurate records and documentation.
- Experience working with HR or recruitment systems, with knowledge of Workday being advantageous.
- Strong communication and stakeholder management skills, with the confidence to work with hiring managers, suppliers and workers at all levels.
- A proactive and solutions-focused approach to problem solving.
- The ability to work collaboratively across teams while also managing responsibilities independently.
- A customer-focused mindset and a commitment to delivering a high-quality service.
