As we are now a Top 50 Law Firm, over 1,000 strong with 13 offices across the UK, the scale of the central operation and administration required to support this has also grown exponentially. We are currently looking for a proactive, highly organised, experienced and service focussed individual to fill a crucial hybrid Notarial Assistant and Personal Assistant role. It will be based in either our Worcester or Birmingham office, and will report directly to the Public Notary, providing administrative support. This role will be most suited to somebody with experience in a customer focussed role as a big part of the role will be liaising with clients, booking appointments, attending meetings and assisting with the drafting of documents.

Role purpose: to support an Equity Partner, who is also a Head of Office and Team, in providing notarial services general support and assistance to 2 Equity Partners in delivery of office and team business plans; and providing general support and marketing assistance to team in delivering Healthcare team strategy and business plan.

Specific areas of responsibility:

  • Support with notarial enquiries by phone and email, coordinate diary appointments, attend client meetings, draft notarial certificates, assist with follow ups with FCO, write up notarial records, raise bills and manage accounting records on Xero with our internal accounts team.
  • Provide diary, phone, inbox and general administrative support to both Partners.
  • Act as team point of contact liaising with Marketing Leads to provide project assistance support for discrete marketing and team tasks.
  • Be a team player and assist wider Healthcare team in projects, activities and events.

About You

Person Specification:

  • 5 years at a similar level, preferably in professional services.
  • Use of MS Office, Excel and Project management tools.
  • Experience with Xero not essential (training will be given).
  • Excellent written English.
  • Track record of supporting in a professional services environment.
  • Accuracy and attention to detail.
  • Emotional intelligence and resilience.
  • Driven to perform at high levels, consistently.
  • Willingness to learn and develop.
