HarperCollins is looking for a new Audio Admin Assistant to support our best‑in‑class audiobook publishing programme, which covers everything from gripping thrillers to inspiring personal development, epic fantasy to celebrity memoirs. This role is crucial in ensuring our audiobooks are on sale when they’re supposed to be, and to the high quality our listeners expect. In addition, the Assistant will manage the drafting and signature of our contracts with narrators, and they will organise prompt payments. We are looking for someone with outstanding attention to detail, first‑rate administrative and organisational skills, and a proactive, collaborative approach to work. This is a great opportunity for a highly organised self‑starter and keen listener of spoken word content to work with a friendly and high‑achieving team in the fastest‑growing area of the publishing industry. Please note that this is not a studio production role.
Key Tasks and Accountabilities
- Support the Audio Operations Manager to ensure all HarperCollins audiobooks are delivered to us, and in turn distributed to retailers and library partners, on time and to our QC specifications.
- Draft and manage the signature of narrator contracts.
- Organise prompt payments to studios and narrators and set up suppliers on our systems.
- Continuously maintain accurate in‑house systems, trackers and records.
- Create and share agendas, schedules and reports as needed.
- Look for opportunities and use initiative to improve our processes wherever possible.
- Liaise closely and build good relationships with internal colleagues and external stakeholders, including studios, agents, and distributors.
- Work closely with our library partners to ensure smooth running of our relationships with them, including creation of appropriate system records and sharing artwork and audio files.
- Organise sharing audiobook masters with other publishers, including monitoring deadlines and keeping on top of paperwork.
- Oversee awards submissions for the team.
- First point of contact for audio queries from retailers, studios, customers and in‑house colleagues.
Experience required
- Solid administrative experience or knowledge.
- A strong interest in reading and audiobooks.
Skills required
- Excellent administration and organisational skills, with the ability to prioritise effectively.
- Meticulous eye for attention to detail.
- Clear, confident communication skills.
- Able to manage personal and team deadlines effectively.
- Excellent standard of written and spoken English.
