Harper Recruitment Group is supporting a respected healthcare organisation in Nottingham who are seeking an experienced Administrator to join their multidisciplinary team. This role is key to ensuring smooth administrative operations across referrals, patient records, coding and general practice support.

You will be responsible for a wide range of administrative and secretarial duties, supporting clinical staff and ensuring accurate, timely processing of information within a busy practice environment.

Key Responsibilities
  • Produce letters, reports and documentation within required referral timescales.
  • Liaise with hospitals, community services and external agencies to ensure efficient referral processing.
  • Manage and respond to administrative enquiries and incoming calls, ensuring appropriate action or escalation.
  • Maintain and update the practice's referrals database.
  • Process incoming emails promptly and accurately.
  • Prepare and issue calling letters as required.
  • Scan, attach and file documents into patient electronic health records.
  • Accurately input and code clinical data using SNOMED CT in line with policy.
  • Process referrals via the Electronic Referral System (ERS).
  • Handle information requests including SARs, insurance and solicitor correspondence, and DVLA forms.
  • Provide administrative support to clinical staff across a range of duties.
  • Run clinical system searches when required.
  • Manage telephone calls, resolving or redirecting queries appropriately.
  • Work collaboratively as part of the general practice team.
  • Ensure compliance with safeguarding and current legislation.
  • Complete all mandatory training and induction.
  • Participate in clinical governance and quality improvement activities.
  • Attend annual appraisal and performance reviews.
What We're Looking For
  • Experience in a medical, NHS or general practice administrative role.
  • Strong understanding of referrals, patient record management and general administrative processes.
  • Confident using clinical systems and Microsoft Office.
  • Excellent attention to detail, communication skills and a proactive approach.
  • Experience with SNOMED CT coding (advantageous).
  • Ability to work accurately and confidentially in a busy environment.
