Overview
This well-established professional services firm in Southampton has created this brand new role to support the Managing Director. As their Personal Assistant, you’ll be the person that keeps everything running smoothly and helping them stay organised, focused, and one step ahead.
The MD is known for his keen sense of humour and relaxed style and needs someone who can gently challenge them while building a strong, trusted working relationship.
From managing a busy inbox and diary to preparing client presentations and board papers, you’ll play a central part in both the day-to-day operations and the bigger picture.
Responsibilities
Diary & Meeting Management
- Keeping on top of the MD’s diary and inbox
- Pulling together briefing materials and agendas, attending meetings, taking accurate minutes, and tracking actions.
- Preparing pre- and post-meeting documentation.
Communication & Stakeholder Liaison
- Acting as the first point of contact for the MD, handling queries with professionalism and confidentiality.
- Liaising with clients, colleagues, and stakeholders to ensure smooth communication and follow-up.
Reports & Presentations
- Producing reports, presentations, and visual aids for client and board meetings.
- Supporting corporate governance requirements.
Project & Travel Support
- Supporting strategic projects by monitoring deadlines and following up on actions.
- Organising travel, accommodation, and itineraries.
What you’ll need
- Strong MS Office skills (Outlook, Word, Excel and PowerPoint).
- Experience supporting at Director, MD, or Partner level in a PA or EA role within professional services such as Legal, Accountancy, Financial Services or Consultancy.
- A high level of discretion and professionalism when handling sensitive matters.
- Experience of using a CRM
- A flexible approach and the ability to evole with the responsibilities in the role
